Summary:
The Audio Visual Engineer is an important part of our IT Services Team serving as a liaison between Events and IT to ensure all virtual and hybrid events and meetings are provisioned and managed to create positive experiences for internal and external stakeholders. This person is primarily responsible for coordinating and orchestrating events with audio/visual technology requirements, including on-site, remote, and hybrid events and meetings The individual should be fluent in common online meeting platforms such as WebEx, Teams, and Zoom, and able to direct internal customers to the most appropriate platform for their meeting based on communication and messaging goals. In addition, this individual will provide hands-on support and moderation for virtual meetings and work with stakeholders to ensure that our video conferencing solutions are effective, efficient and user-friendly with other various Audio/Video related tasks. The ideal candidate is highly collaborative and has an event planning background with strong technology skills and/or has an A/V background with an eye toward running seamless hybrid events.

Duties and Responsibilities:
  • Design, Implement and Administer the firm's current AV and virtual meeting technologies and take steps to remain abreast of new features and capabilities which may enhance virtual meeting experiences.
  • Design, Implement and Administer upgrades and replacements to the firm's AV and virtual meeting technologies that improve the user experience and reduce costs.
  • Administer ancillary meeting room systems including Codec Endpoint Managers, Room Scheduling platforms, and Room mailboxes
  • Process requests for meeting setups and coordinate with requestors and stakeholders to understand conference needs and align expectations.
  • Prepare for meetings with AV or technology-related needs by scheduling resources, disseminating relevant information such as meeting links, and coordinating with on-site resources to perform pre-conference setup and testing.
  • Proactively manage stakeholder expectations by understanding meeting requirements and advising on technologies, alternative approaches, and related best practices.
  • Participate in meetings where hands-on assistance is required and troubleshoot as necessary. Needs for assistance may include starting meetings, starting recordings, muting disruptive participants, assisting with screen sharing, controlling slides, relaying questions from chat, and/or other similar items.
  • Direct meeting presenters and panelists to produce materials early, following up as necessary, to ensure meetings are provisioned and ready to begin at the scheduled time.
  • Collaborate with the firm's IT department and others to ensure physical conference rooms participating in virtual meetings are setup and tested prior to meeting start times.
  • Collaborate with the firm's technology trainers and others to promote awareness and effective use of the firm's virtual meeting technologies with the goal of increasing user independence.
  • Identify opportunities and advocate for improvement in technology and processes. Champion the needs of internal and external stakeholders.
  • Download and distribute reports, recordings, and other meeting material as requested by meeting stakeholders and others.
  • Other duties as assigned
  • Some duties may require in-office presence.
Education and Experience:
  • Bachelor's or Associate's degree preferred but equivalent skills and previous work experience would also be acceptable
  • Minimum 2 years of Audio Visual Engineering experience, with multi-location experience strongly preferred
  • Proficiency in MS Windows (including Outlook, PowerPoint, Excel & Word)
  • Familiarity with virtual meeting applications (WebEx, Zooms, and Teams)
  • Outstanding listening, verbal and written communications skills
  • Excellent time management skills
  • Ability to work in the evenings or weekends as needed for events
  • Periodic travel to other offices is required
