Job Description

The Vendor Management Coordinator works closely with the Global Director of Vendor Management to execute projects and related reporting to the global team's strategic goals. The VM Coordinator will assist in all areas of the acquisition and management of third-party information resources in support of our client's Investment Banking and other divisions.

The role is a part of the Global Vendor Management, which oversees management of non-real-time information resources within defined spend categories, including:

  • Publications & Subscriptions

  • Databases

  • Contracts

  • Ad-hoc Purchases

Responsibilities

  • Assemble and lead appropriate resources / departments to successfully implement a new client service campaign

    • This individual will own and deliver a new high-touch, customer facing project that requires outstanding customer service to C-Level executives, which may include time-sensitive issues that arise

  • May be involved in establishing analysis and final sign-off for other new client projects

  • Design and implement workflows after evaluating complexity, deliverables, and analysis

  • Maintain master schedule for all project activities and conduct periodic status checks to assess progress

  • Communicate client project status to appropriate stakeholders and disseminate information on challenges or potential delays

  • Manage customer expectations to ensure work meets client SLA and complies with company standards

  • May conduct color team review meetings with clients to review and possibly modify jobs and daily functions

  • Performs other related duties and participates in special projects as assigned

  • Provide back-up coverage for North America team:

    • Publications and Subscriptions

    • Contracts

    • Routine inventory reports from Optimize Spend software

  • Support the ongoing development and management of the Inventory systems (Optimize Spend), including creation and delivery of metrics / reports

  • Quality Assurance

    • Ensure shared folders are updated with required documentation

    • Policy and Procedures are kept current

    • Perform quality checks for Optimize Spend software entries

    • Ensure trackers are updated for monthly/weekly reports

  • Create and maintain TWiki pages to document entitlement processes

  • Support Global Director of Vendor Management with special projects

  • Creation and support of Jive, TWiki and SharePoint pages

  • Liaise with research teams on data / product strategy and selection, vendor related issues and processes, including reporting


Qualifications
  • 3+ years of relevant work experience
  • Able to demonstrate ability to solve somewhat more complex problems by analyzing variables and applying appropriate solutions learned through experience and proficiency in understanding the job.
  • Must be able to recognize anomalies and critical situations and respond appropriately. Must be able to communicate and interact with a variety of internal/external customers and/or co-workers at level of detail required to resolve issues of moderate complexity.
  • Able to apply strong functional computer knowledge in utilizing Microsoft Windows, MAC, or other technical tools in completing assignments.
  • May require knowledge of or ability to quickly learn specialized software to complete work assignments.
  • Able to demonstrate continued expertise in the primary tools or applications used in completing daily work assignments.
  • Requires very good communication skills with ability to state messages in a clear manner by using language that is easy for others to understand.
  • Must be able to proactively listen to others to understand issues and situations.
  • Must be able to clearly articulate business needs to both internal and external customers.
  • Use active listening to ensure there is a clear understanding of the Global Director of Vendor Management's direction.
  • Strong organization and time management skills.
  • Highly methodical approach with good attention to detail.
  • Ability to work in a fast-paced environment and meet deadlines.
  • Good judgment and initiative.

Preferred Qualifications:

  • Experience designing and implementing scalable and secure SharePoint workstreams.
  • Self-starter and motivated with expertise in overall relationship management, vendor management and technical, SME knowledge of Invoices and Contracts for Subscriptions and Publications.
  • Proficiency with Excel.
  • Experience with multi-industry databases and Publications & Subscriptions

Additional Information

The national pay range for this role is $52,500 - $93,400 / year. The pay range may be slightly lower or higher based on the geographic location of the hired employee. The actual pay offered may vary based upon, but not limited to: education, skills, experience, proficiency, performance, shift and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission or incentive program.
